Privacy
Your data, plainly.
Last updated November 7, 2026.
What we collect
- Account details you give us: name, email, organization, job title and the role you join as.
- What you add in the portal: applications, logged hours, work links, plan tasks, letters and project records.
- Pilot requests and help-chat questions you choose to send, including the conversation when you ask for a person.
- Anonymous site usage: pages and sections viewed, time spent and clicks, tied to a random browser ID, not your name or email.
Why we use it
- To run projects: match apprentices, let Mentors review hours and work, and produce letters, records and CSR reports.
- To reply to pilot requests and help-chat questions.
- To understand which parts of the site are useful so we can improve them.
Who can see it
- You see your own data. People on the same project see what that project needs, for example a Mentor sees their apprentices' hours and work.
- Companies see their project's summary and CSR report, not other projects.
- The Instiform team can see everything needed to run the program. We don't sell your data or use third-party advertising trackers.
AI assistants
- The help chat uses an AI model to answer from Instiform's own information. If you connect an AI assistant to your account, it can only read what you can already see.
Your choices
- You can edit your profile at any time. To have your account or data deleted, email nahomgkidanu@gmail.com or ask in the help chat. The team will confirm by email.
Sign-in and storage
- You can sign in with email and password, Google or Lovable. We receive your name and email from those services, nothing else.
- Data is stored with our hosting provider in the United States. Project records are kept so apprentices can prove their experience; ask us to delete them at any time.
